Manage My Serving: The Scheduling Toolbox




This help article will show you the ins and outs of Manage My Serving, the toolbox found under the Serving section of My Account, which has tools to view your schedule, export your serving calendar, cancel existing schedules, set your preferences, and set blackout days.

Your Scheduling

The Manage My Serving toolbox can be found on your Serving page of My Account, below your Serving Teams.

On the first tab of the toolbox, "My Scheduling", you can see the schedule(s) you're signed up for, with a "cancel" button to cancel an existing sign-up, and a "Copy Calendar Link" which will allow you to export your volunteer schedule to services like Microsoft Outlook and Google Calendar.

Accept or Decline Request to Serve

Sometimes a Grace staff leader or volunteer leader may request that you volunteer at a given time. You should receive an email where you can confirm or deny such a request, but you also have that option here. Under the "My Schedule" tab you'll see "Pending Confirmations", and you can click on "Yes, I'll be there" or "Sorry, I can't make it" to confirm or decline the request.

Auto-Scheduling

Click "My Preferences" to be brought to the preferences tab. Here you can select your preference for how often you want to volunteer on a team, which will auto-schedule you going forward!

Under "Frequency" you'll see options for Every Week, Every Other Week, 1st and 3rd Week, 2nd and 4th Week, or you can have no schedule. Under no schedule, you can use our standard sign-up process to sign yourself up as normal. If you choose a frequency, you will be automatically signed up to serve on the frequency you choose, and you just have to set your blackout dates on the weeks you can't be here (see below).

*Please note that Care Center Serving opportunity schedules are only available every week or every other week when you set preferences.

Blackout Dates

Under "Blackout Dates", you can specify dates that you will be unable to serve, and leaders will be unable to ask you to serve under these dates.

To add a Blackout date, select the plus (+) symbol. Here you'll be able to select a date range, select the reason for the blackout, which teams you'll be unable to serve under that date range (selecting "All Groups" is the default here), and which people in your family will be unable to serve. Make sure to hit the Save button to save your selections.

You can use the red "X" button next to a saved blackout date to cancel a blackout.

Email Serving Reminders

Also in the "My Preferences" section is your email serving reminder preferences. Under "Email Me Serving Reminders", you can select how many days before your serving opportunity an email is set.

Note: Some teams have their own schedule for sending reminders!
